Office cakes have a different problem to birthday cakes. Nobody knows the real headcount, half the floor has dietary restrictions nobody has asked about, there is one blunt knife, and it all has to happen in a fifteen-minute window before people go back to work.
Here is how to get it right.
Size it by who will actually eat
Not by headcount. In an office, roughly two-thirds of people take cake, and portions are smaller than at a party — people are eating standing up, between tasks.
- 15–20 people: one kilo
- 25–35 people: one and a half to two kilos
- 40–60 people: two kilos plus pastries, rather than one enormous cake
Why pastries beat a bigger cake
Above about forty people, one large cake creates a queue and a mess. Somebody ends up cutting sixty slices with a plastic knife on a desk.
A smaller centrepiece cake for the actual cutting moment, plus a tray of pastries, works far better. The photo still happens, everybody gets something, and nobody is serving. Pastries start at ₹60 each.
The same logic applies to brownies and jar desserts if you want something that travels to desks cleanly.
Sort the dietary question first
In a Kalyan office you will have vegetarian colleagues, colleagues who do not eat egg, and probably someone avoiding nuts.
Order the whole thing eggless. It costs the same as a regular cake with us, it removes the awkward conversation entirely, and in practice nobody can tell. Our eggless post covers the detail, including the important point that eggless is not the same as vegan.
Flag nut allergies when you order, not when you collect.
Farewells specifically
Two notes. Keep the message on the cake short — a name and “All the best” reads better than a paragraph squeezed in small.
And if it is an inside joke, tell us what it is. We have written some genuinely strange things on farewell cakes and they always land better than something generic.
Practical bits people forget
- Ask for a knife and plates. Offices never have them.
- Think about the commute. A cake on a bike in May is a different cake by the time it arrives. Cream travels worse than fondant in heat.
- Collect close to the moment. A cake sitting in an office fridge for four hours behind somebody’s lunch is not improving.
- Get the spelling right. Send the name by message so it is written down rather than heard over a phone.
Regular orders
If your office marks every birthday, it is worth having one person handle it rather than whoever remembers. Tell us it is a recurring office order and we will keep the usual size and flavour on file, so the next one is a single message.
